Overview
TeamTrace is a workforce and project management platform that helps organizations manage employees, projects, tasks, time tracking, activity, productivity, and related work information from a centralized system.
This article explains how a new user can sign up for TeamTrace and complete the initial account setup.
Note: Your organization's TeamTrace setup may vary depending on the features and permissions enabled for your account.
Before You Begin
Make sure you have:
- A valid email address.
- Access to the email account you want to use for TeamTrace.
- An internet connection.
- An invitation from your organization, if your organization requires users to join through an invitation.
If you are joining an existing organization, do not create a separate organization unless your administrator specifically asks you to do so.
Option 1: Sign Up Using an Invitation
If your administrator has invited you to TeamTrace, you should receive an invitation email.
Step 1: Open the Invitation Email
Check your email inbox for the TeamTrace invitation.
If you do not see the email:
- Check your Spam/Junk folder.
- Search your mailbox for TeamTrace.
- Confirm with your administrator that the invitation was sent to the correct email address.
Step 2: Open the Invitation Link
Open the link provided in the invitation email.
The link will take you to the TeamTrace sign-up or account activation page.
Step 3: Create Your Account
Enter the information requested on the sign-up page.
Depending on your organization's configuration, you may be asked to provide:
- First Name
- Last Name
- Email Address
- Password
- Other required account information
Use the same email address that received the invitation.
Step 4: Set Your Password
Create a secure password according to the password requirements displayed on the screen.
Avoid using:
- Your name
- Your email address
- Simple or commonly used passwords
- Passwords that you use for other services
Step 5: Complete Registration
Review the information you have entered and complete the registration process.
Once registration is completed, sign in to TeamTrace using your registered email address and password.
Option 2: Sign Up Directly
If your organization allows users to create a TeamTrace account directly, you can start the registration process from the TeamTrace sign-up page.
Step 1: Open the TeamTrace Sign-Up Page
Open the TeamTrace web application and select the Sign Up or Create Account option.
Step 2: Enter Your Details
Enter the required information, such as:
- First Name
- Last Name
- Email Address
- Password
- Organization information, if requested
Make sure your email address is entered correctly.
Step 3: Submit the Registration Form
Select Sign Up, Create Account, or the equivalent option displayed on the page.
Step 4: Verify Your Email
If email verification is enabled, TeamTrace will send a verification email to the registered email address.
Open the email and follow the verification instructions.
Important: You may not be able to access all TeamTrace functionality until your email address has been verified.
Creating an Organization
If you are the administrator setting up TeamTrace for a new organization, you may be required to create or configure your organization after registering.
During the initial setup, you may need to provide information such as:
- Organization name
- Organization details
- Employees or users
- Teams or departments
- Projects
- Other organization settings
Once the organization has been configured, you can invite employees and assign the appropriate roles and permissions.

Joining an Existing Organization
If your company already uses TeamTrace, your administrator will normally add or invite you to the organization's TeamTrace account.
After accepting the invitation:
- Sign in to TeamTrace.
- Verify that you can access the organization.
- Check that your name and profile information are correct.
- Confirm that your assigned team, department, project, or role is correct.
- Install the required TeamTrace application if your organization uses desktop tracking.
- Complete any additional setup requested by your administrator.
If you cannot see your organization after accepting the invitation, contact your TeamTrace administrator.
After Signing Up
Once your TeamTrace account is created, the next steps depend on your role.
For Administrators
Administrators should generally:
- Configure the organization.
- Add or invite employees.
- Configure teams and departments.
- Set roles and permissions.
- Create projects.
- Configure project settings.
- Create tasks or task lists.
- Configure required productivity and security settings.
- Install and configure the appropriate TeamTrace application.
- Verify that employee data is being recorded correctly.
For Employees
Employees should generally:
- Sign in to TeamTrace.
- Complete their profile if required.
- Verify their assigned team or department.
- Review their assigned projects and tasks.
- Install the required TeamTrace application.
- Grant the permissions requested by the application.
- Start tracking time according to their organization's workflow.
- Verify that tracked time and activity are being recorded correctly.
Installing the TeamTrace Application
Depending on your organization's setup, you may need to install the TeamTrace desktop application after creating your account.
TeamTrace may provide different application options depending on your organization's requirements, including:
- Standard Application
- Silent Application
